Costs and pricing
Part of 5 licence units that quietly change SEO tools costs
SEO tools pricing: billing units and an Ahrefs example
SEO tools pricing depends on the billing unit: compare seats, usage, projects or domains and flat tiers, then use Ahrefs credit charges and five quote checks.
What to take away
- The commonest mistake is comparing monthly list prices before working out which pricing model each vendor is selling. A seat licence and a usage meter can look identical on a quote and behave nothing alike.
- SEO software pricing models come in four shapes: per seat, per usage unit, per project or domain, and flat tier with feature gates. Most vendors combine at least two.
- Your cost curve matters more than your starting price. Headcount growth pushes per-seat costs up. Crawling and API volume push metered costs up.
- Check what is metered, what is bundled and what triggers the next tier before you sign.
Which pricing models do SEO tools actually use?
Vendors rarely sell a single model. Per-seat billing charges for each named user; usage billing tracks an activity or allowance; project or domain billing charges against the sites, campaigns or keyword sets monitored; and a flat tier charges a set fee, often with feature gates. A quote can combine these units, such as a seat fee plus a crawl or API allowance. If you need the whole budget picture before comparing suppliers, the SEO tools costs and budget guide for England shows how those lines fit together.
Ahrefs is a real usage-based example that mixes plan, user and usage charges, according to Ahrefs credit rules and prices. The credit rules apply only to current Starter plans, Lite plans, and older credit-based plans; current Standard plans and higher have unlimited fair usage for every active user. One credit is consumed whenever a report is opened, filters are applied or additional data is requested, in every tool except Site Audit and Rank Tracker. Starter plans have a max limit of 200 credits per month, and additional credits and users cannot be purchased on that plan. If you are the only active user in your workspace, the plan comes included with 1,000 credits a month on Lite. On plans other than Starter, additional credits cost $50 per 500 billed monthly, or $300 billed yearly to add 500 credits a month.
Pricing Models by Billing Unit
Seat licence
- Billing unit
- Per seat
- Typical pairing
- Crawl or API allowance
- Overage rate
- Above allowance
- Forecast ease
- Medium
- Main risk
- Extra seats
Project or domain
- Billing unit
- Per keyword set
- Typical pairing
- Tracked campaign
- Overage rate
- Extra keyword set
- Forecast ease
- Medium
- Main risk
- More campaigns
Flat tier
- Billing unit
- One flat price
- Typical pairing
- Feature gates
- Overage rate
- Tier above
- Forecast ease
- Easiest
- Main risk
- Feature gates
Project or domain pricing is common in rank tracking, where the unit is a tracked keyword set or campaign. Flat tiers are easiest to forecast, but feature gates sit above the price you first agreed, which makes them hard to leave.
What should you do before comparing quotes?
Work through these five steps in order. Each one changes the number you end up comparing.
- Record the billing unit for every tool: seat, project, domain, crawl credit, API call or flat tier.
- List every trigger that moves you up a tier, such as an extra seat, keyword set or data source.
- Model twelve months of usage at the team size you expect, not today's headcount.
- Ask for overage, add-on and data export rates in writing, because these rarely appear on the pricing page.
- Compare total twelve-month cost per model rather than the monthly headline.
A reusable sheet makes step three far quicker; the SEO tools budget template: data and sources sets out which inputs belong in it and where to source them.
Why can a cheap licence cost more by month twelve?
Entry plans may be gated by features as well as volume. A low seat price can hide the module you need, and moving up may mean paying for a higher tier rather than a pro-rata upgrade. If a capability such as AI brand sentiment analysis matters to your workflow, check whether it is included in the quoted tier before comparing headline prices.
Metered tools behave differently. For a crawl allowance, record the included volume and the point at which the quote changes; crawl demand can vary with the size and structure of the sites you monitor. Keep crawl allowances separate from report credits or API calls in your comparison.
Training is another budget line, but keep it separate from the software licence. When comparing tools, check whether onboarding or support is included in the quote rather than assuming that the entry tier covers it.
How does the model change at renewal?
Renewal terms can change the effective rate even when the billing unit stays the same. Check whether unused allowances carry forward, when they expire, whether renewal resets them and whether the rate can change; record the agreed terms rather than assuming rollover or a price cap.
If two quotes look close, model the year you expect to have rather than the year you have now. A team adding three seats and doubling its tracked keywords will often find per-seat pricing cheaper at low volume and metered pricing cheaper at steady, predictable volume.
Common questions
Is per-seat pricing always more expensive?
No. At small, stable team sizes a seat licence is often the cheapest option. It becomes expensive when headcount grows faster than the work the tool supports.
How should I compare a flat tier with a metered plan?
Convert both to a twelve-month total at your expected usage. If you cannot forecast usage with much confidence, the flat tier carries less risk.
Can I negotiate the pricing model itself?
Often yes. Vendors will sometimes move a seat count to a project unit, or cap a metered allowance for a fixed annual fee. Ask before you compare two suppliers on price alone.
What should I keep in writing?
The billing unit, the tier triggers, overage rates, rollover rules and the notice period for rate changes. These are the terms that decide next year's bill.
